Stall Holders Terms & Conditions
The Society reserves the right to refuse any application.
- Only applications for sites made on the specified form and accompanied by the required full amount shall be valid. Applications and fees will be due and payable no later than the 20th November 2026. All applications are at the discretion of the Secretary or Trade Space Steward. Please call or email the Secretary or Trade Space Steward if after this date.
- Unless prior arrangements are made, accounts not paid in full by the specified date will be placed for collection and the applicant shall also be liable for any and all costs incurred to secure payment of the account.
- Every stall operator and staff must have a gate pass or pay admission at the gate. Additional passes can be purchased prior to the event.
- Applicants must provide a copy of Insurance Cover that is current as at the date of the Show. Public liability cover can be purchased from the Society if a stall holder does not have insurance.
- Refund of cancellations made prior to COB Monday prior to the Show Day will be at the discretion of the Society. Cancellation after COB Monday prior to show and/or failure to occupy site on Show Day shall incur the cost of the site PLUS 50%.
- The Society undertakes to rent the space and their buildings in their present condition. All subsequent plumbing, carpeting, electrical requirements and tables are the responsibility of the Stall holder. No structural works is to be undertaken without prior approval.
- Space must be occupied by 8:30 am and operational by 9:30 am on the day of the Show. Vehicles and/or machines not on display must be removed from the ground by 9:00 am. Parking available on Marine Esplanade. All stall holders and displays must remain on site until 4:00 pm on show day.
- SAFETY: All precautions for the safety of all concerned must be undertaken by stall holders. Under Tas Networks regulations, all power users must have a residual current interrupter connected to their power supply and all leads and appliances must be tagged. Compliance inspectors will police this regulation. All leads on the ground must be covered with appropriate rubber matting or fenced off from the public. No structure may be erected within 3 metres of overhead power supply.
- The Secretary, or their appointee, shall have the power to enter any Stallholders area and remove any material which in their opinion may be a cause of offence to the public, exhibitors or the Society.
No raffles, petitions or distributing of printed or any other matter will be permitted without written permission of the Society.
- The display of advertising signs of any description is restricted to the area occupied by the Stall holder and must be displayed or erected safely; the Society reserves the right to remove any display material it feels is not safe or appropriate. No selling, canvassing, hawking, advertising or distributing of printed or any other matter will be permitted outside the area contracted for without the written permission of the Society or agreement with the trade space steward on show day. The specific purpose for site must be stated on application; if different on the day, the Society reserves the right to remove stallholder.
- No stallholder shall erect barriers to prevent free and uninterrupted passage of the public between exhibits or paint or mark any of the Society’s property without permission.
- All Stallholders must abide by the Public Health Guidance for COVID-19 Safety at small/medium events. (www.coronavirus.tas.gov.au)
- All stallholders and persons employed or associated with the stall must comply with the Tasmanian smoke free areas legislation. The Circular Head Agricultural Society Show is a smoke free event.
- All food stall holders must comply with Circular Head Council Regulations, and state regulations if applicable. Food licences are required for the sale of any food. A copy of your current food licence certificate must be sent with your application and the current food licence certificate must be displayed at your stall on show day. All food vans and stalls must display prices of goods offered for sale. Fats and oils are to be disposed of by stallholders off site and not in the society rubbish bins. Food labelling requirements must be adhered to.
- All food stall holders must have an approved fire extinguisher for their site on show day.
- No liquor to be brought on to the ground (unless you have a liquor licence).
- Fold out tents are not permitted inside.
- No exhibitor will be permitted to sell show-bags without the permission of the Society. All exhibitors involved in the selling of show-bags must display the contents of the bag and the selling price of each bag. The Society reserves the right to inspect show-bags for sale; if it is felt there is a safety or moral issue then the vendor can be instructed to withdraw the offending show bag.
- Exhibitors hereby accept all responsibility for any damage or injury to any persons, persons property which may be occasioned by or arise out of the use of any machinery, implement or apparatus of any nature whatsoever used in connection with the stands and/or demonstrations. Exhibitors must faithfully conform to the requirements of any Act of Parliament which govern the erection of structures, displays and/or sale of machinery and other products, and also to conform to any regulations by any Government or local government authority duly authorised to make regulations, by-laws or ordinances in connection herewith.
- If the Society finds it necessary or expedient to cancel or postpone the Show, this contract shall cease to operate upon notice to that effect being served on the stallholder and no compensation shall be payable to the Exhibitor.
- The use of amplifiers must be restricted to meet the requirements of the society and toned down or turned off if required by the committee, especially for the duration of the Opening of the Show.
- With the exception of competition entries, no livestock or domestic animals will be permitted on site.
- Ignorance of these conditions will not be accepted as an excuse for failure to comply.
